Sustainable Salons has an exciting opportunity for an eager and supremely organised administrator to take the bull by the horns and build their administrative/customer service career while playing a key role in helping the business run smoothly.

Based at their Head Office in Botany, this role will transform the office and take ownership of managing the customer service/administrative functions including running reception, assisting with processing invoices and debt collecting, supporting their membership partners and eCommerce store management.

No two days are the same and this exciting adventure involves:

Office and team support

  • Answering incoming calls from our amazing customers and greeting visitors on arrival
  • Uploading invoices/receipts using Xero and assisting with payment collections
  • Providing exceptional support to the Directors and the wider team including arranging travel/event bookings, providing first-level IT support and preparing documents/reports.
  • General operation of the office including managing equipment, ordering stationary and maintaining the kitchen
  • Maintaining filing systems and managing document control.

Customer Service

  • Providing first-class customer service to our members
  • Maintaining data integrity and keeping customer information up to date on the database
  • Reward program membership change management (activation, deactivation, points issued etc.)
  • Membership agreements and documentation filling
  • Frequent communication with customers, sales staff and other stakeholders.

eCommerce Stores Management

  • Product procurement and catalogue management
  • Sales order processing through Xero, responding to customer enquiries
  • Liaising with suppliers on promotions
  • Monitoring logistics partners’ delivery performance
  • Liaising with warehouse on inventory level
  • Querying and investigating issues that require follow-up and liaison with appropriate team members/suppliers to ensure a seamless delivery and customer experience.

Our wish list includes:

You're a born organiser and have a flair for learning and using new software platforms. No two days are ever the same, and you'll need to be flexible in switching priorities for the day.

  • Minimum one-year customer service and administrative experience
  • Experience in a fast-paced environment (i.e. eCommerce or customer service)
  • Tech savvy — not afraid to learn new things
  • Great oral and written communication skills
  • Strong organisation skills
  • Problem solving and troubleshooting skills
  • "Can do" attitude
  • Attention to detail and proactive by nature
  • Open and friendly personality
  • Team player
  • Must have experience using Microsoft Word, Excel, PowerPoint and Google Docs
  • Project or event co-ordination experience would be great, but not essential
  • Knowledge of Asana, Magento, Xero and Salesforce is ideal but not essential
  • Cool under pressure
  • Australian driver’s licence essential
